Too much stock ties up cash. Too little means lost sales and unhappy customers. Good inventory management sits in the middle, and it does not need expensive software to get started. Here are practical inventory management tips for small businesses selling online, wholesale or both.

What is inventory management?

Inventory management is how you track, order, store and move your stock, so you have the right products in the right place when customers want them. It covers everything from forecasting demand and setting reorder points to counting stock and dealing with slow sellers.

10 inventory management tips

1. Give every product a unique SKU

Every product and every variation (size, colour, bundle) needs its own SKU and barcode. It is the foundation for accurate counts, picking and reporting.

2. Use one source of truth

Keep stock levels in one system that syncs with your online store, marketplaces and wholesale orders. Spreadsheets updated by hand drift out of date quickly and lead to overselling.

3. Set reorder points

A reorder point is the stock level that tells you to order more. A simple formula: average daily sales x supplier lead time in days + safety stock. If you sell 10 units a day, your supplier takes 30 days and you keep 100 units of safety stock, reorder at 400 units.

4. Keep safety stock for your best sellers

Safety stock is a buffer for delays and sales spikes. Focus it on the products that sell most and take longest to restock.

5. Use ABC analysis

Group products by how much they matter: A items bring in most of your revenue, B items are in the middle, and C items sell slowly. Watch A items daily, B items weekly and C items monthly.

6. Count regularly with cycle counts

Instead of one big count a year, count a small group of products every week or month. Problems are caught early, and you never have to shut down to count everything.

7. Follow FIFO

First in, first out means older stock ships before newer stock. It matters most for products with expiry dates, seasonal packaging or changing versions.

8. Deal with slow-moving stock

Stock that has not sold in months costs you storage and cash. Bundle it, discount it or sell it through another channel before it becomes dead stock.

9. Forecast with seasonality in mind

Look at the same period last year, not just last month. Plan ahead for holidays and big promotions. See our holiday peak season checklist.

10. Track a few key numbers

MetricWhat it tells you
Stock on handHow many units you have right now
Days of inventoryHow long current stock will last at today’s sales rate
Inventory turnoverHow many times you sell through your stock in a year
Stockout rateHow often customers find a product out of stock
Inventory accuracyHow closely your system matches what is on the shelf

Common inventory mistakes

  • Updating stock by hand across several sales channels.
  • Ordering based on gut feel rather than sales data.
  • Ignoring supplier lead times, especially for imports.
  • Letting returns sit unprocessed instead of restocking them.
  • Only counting stock once a year.

When to hand inventory to a 3PL

As you grow, storing, counting and moving stock takes more time and space. A 3PL with a warehouse management system (WMS) tracks every unit by location, runs regular counts and keeps stock in sync across your channels, while you focus on selling. Compare the options in 3PL vs in-house fulfillment.

Frequently asked questions

What is the best inventory method for a small business?

For most small businesses, a mix of unique SKUs, reorder points, safety stock for best sellers and regular cycle counts works well. Add ABC analysis once you have more than a few dozen products.

How do I calculate a reorder point?

Multiply your average daily sales by your supplier’s lead time in days, then add your safety stock.

What is a cycle count?

A cycle count is a regular count of a small group of products, so every item is counted several times a year without stopping operations.

Can a 3PL manage my inventory across several sales channels?

Yes. A 3PL with a warehouse management system can keep one stock count that serves your website, marketplaces and wholesale orders.
